How we review

What should you look for in an invoicing program?

An invoicing program has to create invoices that meet the rules and help you get paid faster. Also check whether it can send e-invoices, because they are asked for more and more often.

  1. Invoices that meet the requirements

An invoice must include, among other things, your VAT identification number, your Chamber of Commerce (KvK) number, a unique sequential invoice number, the amount excluding VAT, the VAT rate and the VAT amount. A good program takes care of that automatically.

    Ask the vendor

Does the program put all the mandatory details on the invoice, and does it number invoices sequentially by itself?

  2. Payment link with iDEAL

With a payment link on the invoice, your customer pays in a few taps. According to the Dutch Payments Association (Betaalvereniging), 70% of online payments in the Netherlands go through iDEAL.

    Ask the vendor

Can I put an iDEAL payment link on my invoices, and what does a payment cost?

  3. Peppol and e-invoices

If you invoice central government, it already has to be an e-invoice. The government plans to make e-invoicing between businesses mandatory from 1 July 2030, except for businesses in the small business scheme (KOR).

    Ask the vendor

Can I send e-invoices via Peppol, including to the government, and is that included in my plan?

  4. Price at your number of invoices

Invoicing programs charge per month, sometimes with a limit on invoices, clients or users. If you send many small invoices, that limit determines what you pay.

    Ask the vendor

What does it cost at the number of invoices I send per month, and do I pay extra for a second user or my own branding?

  5. Free plan for few invoices

If you send a few invoices per month, a free plan may be enough. Watch out for a limit on the number of invoices or clients.

    Ask the vendor

How many invoices per month can I send for free, and will there be advertising from you on my invoice?

  6. Reminders and recurring invoices

Following up invoices takes time. Automatic reminders and subscription invoices mean you have to chase less by phone.

    Ask the vendor

Does the program send reminders and recurring invoices automatically, and can I change the texts?

  7. Integration with your accounting

Invoices eventually have to go into your accounts. If your accountant handles them, you want them to arrive there without retyping.

    Ask the vendor

Which accounting packages does it integrate with, and are payments transferred too?

  8. Keeping and exporting invoices

Invoices are part of your records, which you have to keep for 7 years. If you stop using the program, you still need to be able to show them.

    Ask the vendor

Can I export all my invoices as PDF and as a data file, and can I still access them after I cancel?
